Reconcile the frame first

A provider output can differ because the source population, pay period, or inclusion rule differs. Start the reconciliation with a scope statement: which employees, which dates, which input types, and which provider result are being compared.

Then list variances individually. “Totals differ” is not a useful question; “Why is employee record A present in the provider output but absent from the approved change list?” gives the owner something to investigate.

Do not sign off on a near match

A close total can hide one material employee-level error. The support specialist can assemble the question list and preserve provider messages, but the payroll owner decides whether the explanation is adequate.

Keep unresolved differences open with an owner and deadline. Close them only after evidence and disposition are recorded.
