Philippines payroll timezone handoff guide
Coordinate Philippines-based payroll support with a client team across time zones without hiding deadlines or creating silent overnight gaps.
Payroll handoff readiness check
Use this table before a provider or Filipino payroll support worker receives access.
| Work area | Ready to hand off when | Owner check |
|---|---|---|
| Calendar | Cutoff and backup times show both reference and local time. | The owner confirms the authoritative deadline. |
| Handoff | The receiving person and acknowledgment window are named. | The receiver confirms receipt. |
| Exception | Overnight gaps have a backup route. | The owner decides what waits and what escalates. |
Make time visible to both teams
A Philippines-based support specialist and a client payroll owner may work different business hours. Put the provider cutoff in one reference timezone, then show the equivalent local time beside every task. Include the calendar date, because a late-evening handoff can cross midnight.
Do not rely on a vague instruction such as “send before Friday.” Name the sender, receiver, receipt deadline, and what happens if the receiver is offline.
- Display both timezones.
- Include daylight-saving changes where relevant.
- Set an acknowledgment deadline.
- Name the escalation contact.
Protect the overnight gap
The support specialist can prepare a dated packet and flag exceptions before the client team starts. The client owner still decides sensitive items after reviewing the source. A status of “sent” is not the same as “received and accepted.”
After one cycle, compare planned and actual handoff times. Adjust the overlap window around the provider cutoff rather than asking either team to guess.
