Plan the absence around decisions

An absence plan should tell outside support who can answer routine questions and which decisions wait for the primary owner. List current cycle status, open requests, provider deadlines, backup scope, and the matters that remain outside backup authority.

Do not send a broad “contact this person” note without limits. A backup may maintain the tracker and route evidence while a payroll owner or provider handles sensitive pay, tax, bank, or employment decisions.

Review the return

On return, the primary owner should receive the current tracker, decisions made, unresolved matters, and provider communications. Record acknowledgment so work does not remain in an individual mailbox.
