Outsource Payroll Company guide
Payroll employee-document intake for outside support
Create a controlled intake lane for employee payroll documents, with minimum data, source checks, and a clear route for sensitive records.
Payroll handoff readiness check
Use this table before a provider or Filipino payroll support worker receives access.
| Work area | Ready to hand off when | Owner check |
|---|---|---|
| Receipt | The document has a sender, received date, and approved destination. | The owner confirms the source is acceptable. |
| Completeness | Required fields and signatures are checked. | The owner resolves missing items. |
| Disposition | The record has a status and next action. | The owner approves payroll use. |
Separate arrival from acceptance
An employee document can arrive without being complete, current, or authorized. Record the sender, received date, document type, employee reference, effective period, and missing fields. Do not treat a file in the inbox as ready for payroll.
Use an approved folder or intake system and link to the source from the tracker. A support specialist should not create extra copies of bank or tax details simply to make the checklist easier to read.
- Identify the document type.
- Check the relevant date.
- Mark missing signatures or fields.
- Route judgment calls.
Give the owner a decision-ready packet
The owner should see the source, the completeness result, and the exact question requiring judgment. This keeps preparation useful without asking an outside specialist to interpret an employment or tax document.
Close the item only when the owner records acceptance, rejection, or a request for replacement evidence.
