Off-Cycle Payment Request Triage

A payroll support workflow for sorting off-cycle payment requests by reason, deadline, funding, and approval before the run is scheduled.

Payroll handoff readiness check

Use this table before a provider or Filipino payroll support worker receives access.

Work areaReady to hand off whenOwner check
Reason codeRequest is classified before schedulingPayroll owner confirms the code and route
Evidence packetSource register, correction, or termination record is attachedOwner checks the amount and effective date
Funding and cutoffFinance confirms account and file deadlineOwner approves the scheduled run
ReconciliationPosted payment matches the approved requestOwner accepts or corrects any difference

Classify the reason before the urgency

Use a small set of reason codes: missed regular payment, termination or final pay, retroactive adjustment, bonus or incentive, correction of an error, and other approved exception. The code determines which evidence and approval path applies.

Urgency is not a reason code. A request marked urgent still needs the same source record and owner approval, and the team should be able to say why the regular run cannot handle it.

Collect the minimum evidence for the code

For a missed payment, attach the original payroll register line and the bank return or employee report. For a termination payment, attach the final pay calculation and the termination date. For a correction, attach the original and corrected values with the reason.

Keep the evidence tied to the employee and the pay period. A general statement that the payment was missed is not enough to schedule a run.

Check the funding and cutoff calendar

Ask the finance owner to confirm the funding account and the deadline for the off-cycle file. Record the cutoff in the request, not in a separate chat, so the payroll reviewer can see whether the request is feasible.

If the request misses the cutoff, present the next available date and the consequence. Do not promise same-day payment unless the payroll owner and funding owner have both confirmed it.

Route approvals by amount and risk

Write an approval matrix that names who can approve a routine correction, who must approve a termination payment, and who must approve a payment above a threshold. The matrix should also name a backup for each role.

Attach every approval to the request with a timestamp. A verbal approval can be recorded as a note, but it should be confirmed in the system before the file is released.

Reconcile the off-cycle run against the request

After the run, compare the employee, amount, earnings code, and effective date with the approved request. A payment that posts to the wrong period can distort overtime, tax, or benefits calculations later.

Record any difference and the owner who accepted it. If the difference changes a prior payroll, open a separate correction rather than editing the original register.

Review the pattern monthly

Count requests by reason code, department, and request date relative to the regular cutoff. A cluster of missed regular payments may point to a timekeeping cutoff problem rather than a payroll execution problem.

Share the pattern with the payroll owner without ranking employees. The purpose is to remove repeat causes, not to create a scorecard for people who report errors.

Copy-ready brief

Payroll support role brief

Replace the tool names and owner details, then use this list in a provider call or job brief.

  • Role: Off-cycle payment request coordinator
  • Collect: reason code, employee, amount, effective date, source evidence
  • Prepare: funding and cutoff confirmation with the finance owner
  • Check: approval matrix, duplicate request, prior correction, tax period
  • Do not: promise a payment date, choose funding, or approve the run
  • Escalate: missed cutoff, amount above threshold, termination pay, duplicate request
  • Daily output: triage list sorted by cutoff and missing evidence

Questions from payroll buyers

What makes a request eligible for an off-cycle run?

The payroll owner decides, using the written policy and the reason code. The support role should present the evidence, the regular-run option, the cutoff, and the funding confirmation.

Can the assistant approve a small correction?

Only if the written approval matrix delegates that amount and the owner has accepted the evidence. Otherwise, prepare the request and route it to the named approver.

How do we stop duplicate off-cycle requests?

Search by employee, amount, and period before opening a new request, and link any duplicate to the original. Review repeat reasons monthly.
